Terms of Use

By creating an account or using BookYourPTO, you confirm that you are at least 18 years old and have the legal authority to enter into these Terms on behalf of yourself or your organization.

We may update these Terms from time to time. Continued use of the platform after changes constitutes acceptance of the revised Terms.

You are responsible for maintaining the security of your account credentials. You must:

• Provide accurate and complete registration information
• Keep your password secure and confidential
• Notify us immediately of any unauthorized access
• Accept responsibility for all activity under your account

We reserve the right to suspend or terminate accounts that violate these Terms.

You agree not to:

• Use the platform for any unlawful purpose
• Attempt to gain unauthorized access to any part of the platform
• Interfere with or disrupt the platform's infrastructure
• Upload malicious code, viruses, or harmful content
• Reverse engineer, decompile, or disassemble any part of the platform
• Resell or redistribute the platform without written consent
• Use automated systems to scrape or extract data from the platform (this does not apply to authorized access via the BookYourPTO MCP server — see Section 5)

The platform, including its design, code, features, and content, is owned by AnHourTec and protected by intellectual property laws. You retain ownership of any data you submit to the platform.

By using BookYourPTO, you grant us a limited license to process your data solely for the purpose of providing our services.

BookYourPTO offers optional integrations with third-party services, including Google Calendar, Microsoft Outlook Calendar, and Intuit QuickBooks Online. By connecting these services, you authorize BookYourPTO to access your account data as described in our Privacy Policy.

• Third-party integrations are entirely optional and can be disconnected at any time from your account settings
• We only request the minimum permissions required for each integration to function
• You may also revoke access from the third-party provider's account settings at any time
• Third-party services are governed by their own terms of service and privacy policies

QuickBooks Online Integration

If you connect your Intuit QuickBooks Online account, you authorize BookYourPTO to:

• Read your QuickBooks company information, employee records, chart of accounts, and department/customer lists for mapping and configuration purposes
• Create and update Bills in QuickBooks when expense reports are approved in BookYourPTO
• Create and update TimeActivities in QuickBooks when time entries are approved in BookYourPTO
• Push and pull employee records to keep both systems in sync

The QuickBooks integration is available on Business and Enterprise plans only. Data is synced only for approved records — draft or pending items are never sent to QuickBooks. You may disconnect the integration at any time, which immediately revokes BookYourPTO's access to your QuickBooks account. For full details on data handling, see our Privacy Policy.

MCP (AI Integration)

BookYourPTO offers a Model Context Protocol (MCP) server that allows you to connect third-party AI clients (such as Claude, Cursor, VS Code, Claude Desktop, and Windsurf) to your workspace. By connecting an MCP-compatible AI client, you acknowledge and agree that:

• Actions are your responsibility: Any action taken by your AI client through the MCP server (including creating leave requests, approving expenses, or modifying data) is treated as your action and subject to the same permissions and accountability as if you performed the action directly
• Third-party processing: Once your data is received by a third-party AI client, it is processed under that client's terms of service and privacy policy. BookYourPTO is not responsible for how third-party AI clients handle, store, or process your data after receipt
• Client selection: You are responsible for choosing trustworthy AI clients and ensuring they meet your organization's security and compliance requirements
• Self-hosting: If you run the MCP server using our public Docker image, you are responsible for securing your self-hosted infrastructure, including credential management and access controls

The MCP integration can be disconnected at any time by removing the server configuration from your AI client. For full details on data handling, see our Privacy Policy.

You may close your account at any time. We may suspend or terminate your access if you violate these Terms or for any other reason with reasonable notice.

Upon termination, your right to use the platform ceases immediately. We will retain your data in accordance with our Privacy Policy.

To the maximum extent permitted by law, AnHourTec shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities.

Our total liability for any claim arising from the use of BookYourPTO shall not exceed the amount you paid us in the 12 months preceding the claim.

These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which AnHourTec is incorporated, without regard to its conflict of law provisions.

Any disputes arising under these Terms shall be resolved in the competent courts of that jurisdiction.

We reserve the right to modify these Terms at any time. We will notify users of material changes via email or an in-app notice. Your continued use of the platform following any changes constitutes acceptance of the updated Terms.

By creating an account or being added as a user by your organization, you acknowledge and agree that your email address may be added to our marketing mailing list. You may receive periodic emails about product updates, new features, tips, and promotional content related to BookYourPTO.

You may unsubscribe from marketing emails at any time by using the "unsubscribe" link in any marketing email or by contacting us. Unsubscribing will not affect transactional or service-related communications necessary for your use of the platform.

Your use of BookYourPTO is also governed by our Privacy Policy, which describes how we collect, use, store, and protect your personal data.

Organization Data Ownership: You retain ownership of all data you and your users enter into BookYourPTO. We do not claim any intellectual property rights over your data.

Data Processing Agreement: For organizations that require a formal Data Processing Agreement (DPA) under GDPR or other privacy regulations, please contact us at legal@anhourtec.com. We will provide a DPA upon request at no additional cost.

Data Portability: You may export your organization's data at any time through the platform. Upon account deletion, we will provide a copy of your data in a structured, machine-readable format upon request.

Subprocessors: We use third-party service providers to help operate BookYourPTO. A current list of our subprocessors is available on our Subprocessors page.

We strive to maintain high availability of the BookYourPTO platform. However, we do not guarantee uninterrupted access. Scheduled maintenance windows, infrastructure updates, and unforeseen events may cause temporary service interruptions.

We will make reasonable efforts to notify users in advance of planned maintenance that may affect service availability.
